The presentation looks finished until someone asks to change a chart, check a claim or edit it in another app. A deck that works in its original browser editor may need repair after export. A confident headline can hide a weak source. The useful buying question is what your team must be able to do with the finished file.
This guide compares Gamma, Canva, PowerPoint with Copilot and Google Slides with Gemini through that question. Their current official documentation supports different creation, editing and delivery paths. The recommendations below are editorial inferences from those documented capabilities, not a ranking of designs produced in a test.
Evidence scope: official product, help, licensing and privacy pages reviewed on 10 October 2026. No presentation account was used, no deck was generated or exported, and no timing, fidelity, accessibility or productivity result was measured. The prompts and acceptance checks are original, unexecuted proposals. Our research and testing policy explains that distinction.
Decide where the finished deck will be edited
Ask the recipient which app they will use next month, not just which file they can open today. A native project preserves the original editor’s workflow; an exported file creates a separate handoff. A PDF may be enough for a fixed handout, while a recurring report needs editable text, charts and an owner who can update them.

These are starting points, not exclusive capabilities. All four can be relevant to more than one task. Keeping the work in an editor your collaborators already use can avoid a conversion step, but it does not establish factual accuracy, accessible reading order or a lower total cost.
Define the handoff in one sentence: “The recipient must change the headline, update the source data, retain the notes and present without my account.” That sentence gives you a more useful acceptance check than a gallery of attractive generated slides.
Gamma: a conversation-led draft with an export boundary
Gamma’s current Agent flow starts with a conversation, clarifying questions and a plan. You can bring notes, files and images, review the proposed story, then request targeted changes or edit manually.
That makes Gamma a candidate when you want to shape an explanation before arranging every object. Review the plan for the decision the audience must make and for claims you can actually support. The vendor’s description of end-to-end research is a capability claim, not evidence that a particular generated citation or slide is correct.
Treat the exported deck as a new deliverable
Gamma documents PDF, PNG and PPTX exports; its Google Slides route uses a PPTX upload. Its current export help describes editable tables and included speaker notes, but no slide master layout. It also documents differences in some visual effects and fonts, including Google Slides substituting fonts embedded in an uploaded PPTX.
If your organization maintains a PowerPoint master, that missing master is a concrete constraint. Do not assume that a successful download creates a reusable corporate template. Inspect the file in the recipient’s app, update a table and create a new slide before accepting the handoff. This guide has not performed that export check.
Canva: evaluate the native design workflow and the conversion
Canva’s current guided presentation flow asks for audience, style and length, produces an outline you can review, then generates a design. Its native collaboration supports comments and editing. This is useful to evaluate when the deck belongs to a wider design workflow, rather than assuming that every presentation must immediately leave Canva.
Write the approved message before refining the look. A template can help establish consistency, but the presence of a brand color or image does not make a claim more credible. Decide whether your collaborators will keep editing the Canva project or require a PowerPoint copy. Those are different maintenance commitments.
Charts need a source-data review
Canva also documents presentation generation from CSV, Canva Sheets or connected data, with charts and insights. Its help page says a new prompt does not change charts that already exist: update them manually in the editor. Supported chart types and languages are limited.
For a recurring report, keep the reviewed source table and chart labels together. Check units, date ranges and whether a headline describes the actual measure. If the underlying data changes, do not treat a regenerated paragraph as proof that the chart changed too. That is a proposed review practice, not an observed Canva failure.
Canva permits PPTX download for presentations, while warning that appearance and fonts can differ in PowerPoint. Its export help also warns about animations and embedded video. If those are essential to the talk, review the target format before you build the whole deck around them.
PowerPoint with Copilot: check the specific mode you have
PowerPoint is the first workflow to evaluate when the recipient needs to keep using a PowerPoint file and an existing organizational template. That is a practical fit inference, not proof that Copilot produces the best slides. Licensing, app version and organization settings still determine what is available.
Microsoft’s current creation guide describes Agent Mode: supply a prompt, clarify the brief, review the outline, generate and refine. It explicitly says file referencing is coming soon to Agent Mode, and some presentation controls are rolling out. Do not attach old file-based instructions to that mode and assume they will work.
Microsoft separately recommends starting with an organization’s template to guide layouts. Preserve that approved structure and review the actual generated content. Native PowerPoint editing removes one cross-editor conversion from the workflow; it does not remove the need to check charts, notes and accessibility.
A file-based slide is a separately documented path
The current “Add a slide from a file” guide documents selecting Reference a file, or using slash selection, to supply material for a drafted slide. Microsoft recommends identifying the relevant section or topic, then reviewing and editing the result. This separate feature is not evidence that Agent Mode accepts the same input today.
If the required control is missing, check the assigned account and supported app with your administrator. Do not buy a second subscription or move work files into an unapproved personal account simply because a tutorial shows a different interface.
Google Slides with Gemini: complete generation now needs its own eligibility check
Google’s current help documents complete, editable presentation generation inside Slides, rather than only individual slide assistance. The documented flow supports a prompt, Drive references, a reference deck for style and an outline you can revise before approval. You can then edit the resulting elements and refine individual slides.
The same page restricts this complete-deck feature to desktop and English, with an eligible Workspace or Google AI plan or applicable Workspace Experiments access. Those conditions matter: general access to Google Slides or another Gemini surface does not prove that this specific feature is enabled for you.
Evaluate it first when your collaborators already work in Slides and the required feature is present. Review the outline against your source packet before generating. A native shared deck can remain the working document, with a separately reviewed download only when somebody needs another format.
Google’s source controls can include Drive, Gmail, Chat and web search; previous conversation sources can also remain relevant. Review the actual settings, and start a new conversation when excluding earlier material matters. Google also warns that displayed sources can be incomplete, wrongly associated or invented. Adding a reference file is not a guarantee that every slide is supported by it.
Give the tool a brief it can be held to
A presentation needs a decision, an audience and an evidence boundary before it needs a theme. A useful brief says what the listener should understand or approve, what material may be used and what must remain unresolved. Ask for an outline first so you can reject an unsupported narrative before polishing it.
Consider an unexecuted example: a fictional internal team is deciding whether to maintain a shared project handbook. The permitted packet would contain its approved process description, an actual task list and any owner-approved observations. None of those files or observations is supplied here. The example creates no real adoption result, business benefit or product output.
Proposed presentation brief — not an executed generation
Plan a six-slide presentation for a fictional team deciding whether to maintain a shared project handbook. Use only the approved material I supply. First ask what decision, audience and final editing app the deck must serve. Then propose: decision needed, current process, documented problems, proposed responsibilities, unresolved questions, and next review step. For each factual slide claim, identify its source and section. If evidence is absent, write [EVIDENCE NEEDED] rather than inventing a number, quote or outcome. Keep recommendations distinct from established facts. Return an outline for approval before creating slides.
A request to use only supplied material is an instruction, not an access control or a correctness guarantee. Check the product’s source and search settings where available. If it cannot reliably maintain the boundary your organization requires, prepare the outline manually in the approved editor.
Resolve one content problem at a time
Suppose the proposed headline says “The handbook will reduce errors.” If there is no evidence for that outcome, a more accurate proposal is “Assign an owner and review the handbook’s effect on errors.” The second version preserves the useful next step without presenting a hoped-for benefit as a measured result.
When revising, identify the slide, the claim and the intended change. “Remove the unsupported benefit from slide three and retain the open question” is easier to assess than “make the whole deck more persuasive.” Preserve the approved source packet so a later rewrite can be checked against it.
Check evidence before a polished slide makes it persuasive
Read headlines, labels, speaker notes and charts as separate claims. An accurate table can sit beneath an exaggerated headline; a source may support a historical observation while the slide describes a current policy. Open the cited passage, establish its date and scope, and decide whether the slide follows from it.

Review the slide text and speaker notes I provide against the permitted source packet. List each material factual claim with its slide, source, section and qualification. Separate supported facts, editorial recommendations and unsupported claims. Check chart units, time periods and denominators. Do not infer results from the proposed workflow or invent missing references. For unsupported claims, suggest a narrower accurate wording or mark removal. Return unresolved questions for a human reviewer; do not declare the deck verified.
The audit is a way to organize review, not a substitute for reading the material. Record your own corrections against source passages, and keep citations near the relevant claims or in readable notes where the audience can retrieve them. A references slide full of links does not establish that any individual headline is accurate.
For research-heavy material, organize unresolved questions and their source passages before turning them into slides. A generated summary is still an intermediate interpretation to review, not an additional independent source for the same claim. Keep a record of the passage that supports the final wording.
Inspect the handoff in the app the recipient will use
The native project and its exported copy are different handoffs. PPTX can be the editing target, but the extension alone does not prove each object is editable; PDF is a fixed presentation copy. Inspect the actual file in the recipient's app. Original AI Tech Bench conceptual diagram.
Open a copy in the target app before treating an export as complete. Change a title, edit the chart data and add a new slide using the intended layout. Check notes, links, symbols, line breaks and image cropping. A file extension describes a format; it cannot prove that every object remains conveniently editable.

Google Slides documents PowerPoint and PDF downloads, version history and separate web publication. Keep those distinct: downloading a copy is not the same action as publishing the deck to the web. Choose the sharing mechanism deliberately and keep one identified working version so recipients know where corrections belong.
Inspect material that is easy to miss
Review speaker notes, comments, hidden or off-slide objects, embedded files and document properties. Microsoft’s Document Inspector can find and remove some of this content in PowerPoint, but it has limitations; use a copy because removal may not be reversible. A visual scan of the slide canvas is not a complete privacy check.
Canva specifically warns that a PDF can retain the original image behind a visible crop. If a photograph contains something you must exclude, remove it from the underlying image before adding it to the design. Cropping its visible frame is not reliable redaction. Review the downloaded copy, not just the editor.
Keep an editable working copy and a clearly named approved delivery copy. If a number or source changes, regenerate or re-export the required deliverable and verify it again. Revoking a cloud link cannot recall copies someone has already downloaded or captured.
Review privacy, permissions and asset rights separately
Verify evidence, inspect hidden material, check the actual exported file and review access before sharing. These are suggested editorial checks, not completed product tests, a claim that every tool exports notes or comments, or a guarantee of correctness. Original AI Tech Bench conceptual diagram.
Before uploading work material, confirm that your organization permits the service, account and data type. Review the input packet for confidential details as well as the finished slides. The ChatGPT apps permissions guide explains a related distinction between granting a connection and approving the use of a particular file.
Gamma’s workspace permissions can override an individual deck’s sharing setting. Its document password feature requires Pro or higher, and does not cover Gamma sites. A view-only link is also not a promise against copying: Gamma documents browser printing by viewers. Review both workspace access and the individual link.
Canva separates who can access a design from whether user content may improve AI features under privacy preferences. Its Trust Center warns that anyone-with-link and view-only links can be forwarded. Check both controls; disabling an AI-improvement preference does not revoke a presentation link.
Microsoft’s enterprise data protection commitments cover organizational Copilot use under its specified terms. Prompts, responses and Graph data are not used to train foundation models under those commitments. Web queries and agents have additional handling considerations. Do not extend that statement to every personal Copilot account or third-party connection.
Google’s Workspace and in-app Google AI privacy commitments are likewise specific to the service and account. Workspace Experiments has its own notice, and voluntarily sharing content with other Google surfaces can change how it is handled. Check the exact route your files take instead of treating the Gemini name as one universal privacy policy.
A generated image still needs a rights decision
Record where each visual came from and what permits its intended use. Canva distinguishes library content from generated images, and warns that editing a library photo with AI does not erase the underlying license. Generated-image ownership can also be uncertain by jurisdiction. A subscription or successful export is not clearance for a recognizable brand, person or protected work.
Prefer an original diagram when it explains the idea more accurately than decoration. Label conceptual visuals accordingly. Do not present a generated photograph as evidence of a real event, or a fabricated interface as a product screenshot. Obtain appropriate review when rights are unclear.
Compare the cost of revisions and delivery, not only entry access
First check what you already have. Copilot access depends on the subscription, account and organization; qualifying personal desktop AI benefits belong to the subscription owner rather than every member of a shared family plan. The presence of a free chat interface does not establish your PowerPoint feature entitlement.
Gamma’s current Free page advertises up to ten slides per prompt; Plus removes branding and Pro adds customization and advanced sharing. Its export help says Free-workspace PDF/PPTX exports carry the badge according to the plan at export. Check the actual workspace before promising an unbranded deliverable.
Gamma’s AI actions consume credits according to the action, model and complexity. Free credits do not refresh, while paid allowances refresh monthly. Budget for revisions as well as the first generation. Running out of paid AI credits does not prevent manual non-AI editing, according to its help.
Canva’s shared AI allowance depends on plan, tool tier and task complexity; conversational design can consume more than a simple request. Third-party Marketplace apps can have separate subscriptions or limits. Check the billing allowance and the specific tool instead of assuming a single subscription supplies unlimited generation.
For Google Slides, confirm the complete-deck feature’s current eligible plan and access before upgrading. Across services, record billing interval, tax/currency, collaborators who need paid features, asset requirements and the output you need. This review establishes no local checkout price or measured cost per accepted deck; neither would be interchangeable across accounts.
Make the slides readable before calling them finished
Use a headline that states the point, one clear explanation and a visual only where it helps. Put the qualification close enough to remain visible. If a slide needs a long paragraph of tiny text, split the argument or move detail into notes and a useful handout rather than shrinking everything.
PowerPoint’s Accessibility Checker covers issues including slide titles, alternative text, contrast, reading order and media captions. Run the relevant checks on the final file, then review the actual content yourself. A clear result is not proof of universal accessibility or of accurate generated alt text.
For PowerPoint, inspect the Reading Order pane so objects make sense to a screen-reader user. Review informative alt text and mark decoration appropriately. Reordering objects visually can leave a different reading order; a chart needs an explanation of its meaning, not just “bar chart.”
Review at the size the audience will see: a projected slide, a laptop window and any intended phone handout. Check keyboard use, link labels and captions for real media. Test the actual target format because a readable native deck can become harder to use after conversion. These are recommended acceptance checks, not accessibility results observed for any of the four tools here.
Run one small acceptance check before a larger commitment
Choose a short permitted source packet and a representative slice of the eventual deck. Include one factual claim, one meaningful visual or chart, a source note and a slide your collaborator must update. Use the real required template and final app, then record what succeeds, what needs repair and what remains uncertain.
Proposed handoff checklist — for a human to execute
Before accepting this presentation, open the actual delivery copy in the recipient’s app. Check: the factual claim matches its source; the headline retains necessary qualifications; text and required chart data can be edited; speaker notes and links work; a new slide follows the intended layout; reading order and alt text are reviewed; comments, metadata and hidden material are appropriate; intended recipients have the correct access. Record observed failures and fixes. Do not mark a check passed because an AI tool says it passed. Keep a separate unmodified working copy.
If the small handoff needs substantial repair, decide whether the native workflow is still worth using. For an infrequent, tightly specified presentation, a manual outline and an approved template may be the shorter route. Sensitive material that cannot enter the service, a mandated template it cannot preserve, or an inaccessible deliverable is a reason to change the workflow rather than keep regenerating.
Avoid automating generation and distribution before you have a dependable review step. Start with the recipient’s editing app, confirm the account’s actual feature access and prepare one small source-backed outline. Approve the evidence, inspect the delivered copy and give it an owner. That produces a defensible choice for your task without pretending that a generated design or a vendor feature list proves an overall winner.
