Use NotebookLM, now Gemini Notebook, to organize a bounded study set, inspect citations and turn reviewed explanations into practice. Keep source freshness, privacy and limits in view.

A lecture deck, a reading and your own notes can describe the same topic differently. The useful task is to work out what each actually supports, then practise explaining it yourself. Asking an AI tool to “summarize everything” can hide the missing definition, outdated instruction or unresolved disagreement that you need to notice.
This guide develops one source-checked study workflow, from a small reading set to a reviewable revision note. Google renamed NotebookLM to Gemini Notebook on 16 July 2026. If an older tutorial points you to NotebookLM, the current standalone research product is called Gemini Notebook.
Official documentation was reviewed on 9 October 2026. No notebook was created, document imported, quiz completed or audio generated for this article. The course scenario, prompts and review methods below are original proposed examples, not product outputs or measured learning gains. Our methodology explains the difference between primary-source review and hands-on evidence.
Choose a study question before choosing an output
A good starting question names a topic and what you must be able to do with it: explain a distinction, compare two arguments or apply a course definition to a new example. “Help me study environmental systems” leaves the scope open. “Help me distinguish the two approaches defined in Week 4, using the assigned reading” gives both you and the tool a boundary.
Check access before organizing a semester of material. The standalone browser product needs an eligible Google account, supported region and applicable age; a school or work administrator may need to enable it. Mobile availability and some features differ. This is not a promise that every student account includes every generation mode.
Choose the surface deliberately. The current chat documentation describes selected-source Q&A alongside experimental capabilities that can search the web, run code and create files. For this workflow, keep questions tied to your chosen reading set and inspect the evidence used. A request to avoid outside material expresses your intent; it is not a technical access restriction.

Build a source set with clear authority and rights
Start with the current course instructions and one manageable topic. Add the material that defines the expected scope, the assigned explanation and any relevant correction. Your own rough notes can be helpful, but label them as notes. Do not give a guessed definition the authority of an instructor’s current handout by placing both under indistinguishable filenames.

Give sources distinct names that identify topic and version. Keep a small record of where each came from, when you obtained it and why it matters. A date in your source title is useful organization; it is not a claim that the AI checked the original publication date or established which document governs the assessment.
Use material you are permitted to upload and use in this service. A course subscription, library login or private class folder does not automatically grant public redistribution rights. Remove unrelated student details and confidential comments from sample files. For assessed work, check the actual course policy before using generated help, and keep your submitted reasoning within what that policy allows.
Source discovery can help find candidates through supported web or Drive research. Review the returned source itself before importing it: publisher, date, actual passage and relevance. The easiest result to import is not necessarily an authoritative one. Keep discovered context separate from the assigned source set until you have a reason to include it.
Check the import and keep the version honest
On the web, create a notebook for the chosen topic, then add your sources. Inspect each imported document before asking for an overview. Check the section you plan to use, especially where a table, symbol, diagram or reference carries the meaning. A source appearing in the panel establishes that an item was added; it does not establish that every important detail survived import.
Current supported formats include PDF, DOCX, Markdown, common images and Google files. HTML URL imports bring page text rather than nested pages or embedded media; supported YouTube imports use captions. Google-file comments and footnotes are omitted. If a conclusion depends on one of those missing elements, consult the original and add an authorized explicit explanation instead of treating the import as complete.
Linked Drive sources now auto-sync every few minutes and update when the notebook is opened; a manual sync control is also documented. Losing Drive access makes that source inaccessible. A local file upload is the version you supplied: replace it when the original changes. Check the actual imported passage after any update. Source-type differences matter more than assuming every item is either permanently static or always live.

For a proposed pilot, use a harmless lecture-style text you wrote yourself and a clearly labelled revision. Include a definition you can recognize in the original, then check that it appears in the viewer. This small known-content check lets you identify an import mismatch before relying on a complex reading. It is a suggested procedure, not an exercise executed for this article.
An imported source can be accurate and still inappropriate for your question. A lecture on last year’s syllabus may describe a valid concept but the wrong assessment scope. Keep authority, relevance and freshness as separate decisions; fixing an import does not settle all three.
Ask a bounded question and inspect the citation
Select the sources for the question in the source panel. Name the relevant material in your request and ask for an explanation you can check. Start with a specific definition or comparison before requesting a complete study guide. A broad answer may make it harder to see whether a crucial qualification came from the source or from the model’s interpretation.
Proposed source-check request
Use only the selected sources for my fictional Week 4 study exercise. Explain the distinction the lecture makes between mitigation and adaptation. For each important claim, identify the source and section and include its citation. Separate statements explicitly present in the material from your interpretation. If a needed definition or qualification is missing, say what is missing. Do not add web research or turn my personal notes into instructor-approved facts.
Read a citation in context rather than stopping at the highlighted phrase. The documented citation controls let you inspect the quoted material and navigate to its source. Check whether the passage supports the entire claim, whether an exception was omitted and whether another selected document contradicts it. A citation is a route to evidence, not a correctness badge.
For example, a source may describe a method as appropriate under a particular condition. A study note that says the method is always appropriate has lost the condition even if the citation points to the right page. Restore the condition in your own note. If the source does not resolve the issue, mark it as an open question for the instructor rather than asking the model to choose a confident answer.
Treat disagreement as information to preserve. Ask which definition each source uses and whether either states that it replaces the other. If there is no documented authority, report both. Recency alone may not decide the question: a new optional reading does not automatically overrule the current course instructions.
Keep a short evidence record for important concepts: the claim in your words, the supporting source and section, any qualification and what still needs clarification. The point is to make correction easy. Reopening the source should let you reconstruct why you wrote the note, even after the generated conversation has become long.
Turn the explanation into practice you can review
Once you have checked an explanation, attempt a question without looking at it. Then compare your response with the source and the course expectations. This is our proposed revision routine; no improvement in recall, grade or study speed was measured for this guide. It keeps your own explanation visible rather than substituting a generated paragraph for evidence of understanding.

Use a question that requires a reason
Ask for one applied question using only a concept you have already checked. Specify the course level and keep the answer hidden until you attempt it. A multiple-choice result can be useful, but a correct selection without an explanation may leave you unsure which part you understood. Include a reason, a source qualification and an example when the task calls for them.
Proposed evidence-based practice request
Using the selected Week 4 lecture and assigned reading, ask me one short application question about a concept both sources discuss. Do not reveal the answer yet. Wait for my response. Then compare my reasoning with the cited passages: identify what is supported, what I omitted and what remains uncertain. Do not invent an official mark scheme, predict an exam question or assign an exam grade. If the sources disagree, show that disagreement.
Review the feedback rather than accepting it as a grade. If it adds a fact you cannot locate in the reading, ask for support or remove that fact from your trusted note. If your explanation is correct but uses a different term, compare definitions rather than treating a wording difference as proof of error.
Use built-in study aids selectively
Current Flashcards and Quizzes controls support source-based generation, difficulty and focus customization, explanations and review of missed cards. Creating or deleting them requires edit access. Those controls are helpful for organizing practice; they do not establish alignment with a course’s actual exam or make a generated answer key authoritative.
Inspect the question and answer before repeating a card. A card that compresses two distinct definitions into one can train the wrong distinction through repetition. Keep cards narrow enough that you can identify the supporting passage. If a card’s assumption is unclear, correct or discard it rather than trying to memorize around the ambiguity.
Record the concept you struggled with, not just the tool’s completion percentage. Revisit the underlying explanation and try a different application in your own words. Your lecturer’s worked examples and assessment rubric remain important when the generated practice question cannot establish what the course expects.
Choose an artifact for the gap in your understanding
Generating more formats is useful when each has a purpose. Choose the artifact that helps examine the gap you identified: a relationship, a structured explanation or a topic you want to revisit while away from the screen. Keep a checked text note as the reference against which you review the generated format.

Mind Maps and document reports
Mind Maps turn source topics into a branching view; selecting a node can start a follow-up question. Google warns that outputs may be inaccurate and currently excludes Mind Maps from the mobile app. Use the map to find a relationship worth investigating, then return to the reading to establish what that relationship means.
Reports can provide structured document outputs or web-only interactive formats, with customization controls. They also need accuracy review. For revision, specify the outline you need rather than assuming an automatically suggested template covers the syllabus. An attractive study guide can omit a difficult concept just as easily as a short chat answer.
Audio Overviews with a checked purpose
Audio Overviews are AI-generated discussions or summaries. Editors can choose supported formats, language and focus; some length controls are English-only. Audio can contain errors or glitches. Interactive mode is currently English-only, and some source restrictions affect downloads. Listening convenience should not replace checking a definition that matters to your assessment.
For a proposed audio request, focus on a concept already reviewed and ask the hosts to preserve the distinction and uncertainty you recorded. After listening, write a short explanation from memory and compare it with the original passage. If the audio smooths over a disagreement or invents a helpful-sounding example, keep that difference visible instead of copying it into your verified notes.
Keep your notes from becoming circular evidence
Current new notes appear as selectable sources and can participate in Q&A and artifact generation. A saved-response note is editable after its citations are removed; older Studio notes can be converted to sources. This is different from assuming every personal note stays outside the evidence set. Check the source selection when you want only the assigned material.
Label your interpretation clearly. If you save an incorrect explanation and then select it as a source, a later answer may cite that note. The citation now points back to your earlier mistake rather than supplying independent support. Exclude the note while auditing it against the original reading, then correct it with an explicit source reference.
Proposed study-note audit
Audit my note against the selected assigned lecture and reading. Treat my note as a claim to review, not as supporting evidence. For each important statement, show whether the original materials support it, contradict it or leave it unresolved, and give the relevant citation. Preserve qualifications and identify wording that is my interpretation. Do not use another generated note as independent confirmation. Produce proposed corrections for me to review; do not claim an instructor has approved them.
Keep original passages, your interpretation and open questions distinguishable in the final note. If you remove clickable citations to edit a saved response, retain enough source and section information to find the evidence again. A polished paragraph with no traceable provenance is harder to repair when the assigned material changes.
Exported Docs and Sheets are separate copies: changes made there do not synchronize back to the notebook, and notebook sharing permissions do not carry over. Before distributing a study handout, inspect the destination file and its actual access. “Exported successfully” would not prove that the content or permissions were checked; this article did not perform an export.
Review privacy, sharing and your actual allowance
Use the right account and share deliberately
A notebook shared with a viewer can expose the shared source documents and notes; an editor can also change sources and share further. Use the narrowest role that serves the collaboration. If a classmate only needs your permitted summary, decide whether sharing the whole notebook is appropriate at all.
Chat View hides sources and artifacts for a simpler interface; it does not revoke a viewer’s underlying access. Anyone-with-link notebook sharing is a separate public-access decision, with documented sign-in requirements. Do not place private class material behind a chat-only view and assume the sources are inaccessible. Revoking a link cannot recall a copy someone already made.
Consumer feedback can include prompts, source uploads and generated outputs, be reviewed by people and be retained for up to three years. Google’s Notebook privacy notice excludes direct foundational-model training unless feedback is supplied; eligible Workspace and Education protections differ. Content used in other Google services follows those services’ notices. Keep confidential material out of a casual feedback report.
Managed account rules depend on the actual edition and license, including core-service versus additional-service terms and protections. Ask the administrator which agreement applies before uploading restricted course or research data. A school-looking email address is insufficient evidence that a particular protection or premium feature is available.
Do not assume every Google surface behaves alike
Notebooks can appear across Gemini surfaces, but their behavior differs. Gemini answers may add web or tool context; notebook source and instruction changes can sync across apps. Gemini conversation activity and Notebook data have distinct controls. Turning off or deleting Gemini activity does not delete Notebook data. For a first source audit, use the standalone notebook and inspect its selected inputs.
Keep externally discovered information visibly separate when the task is to explain assigned material. A useful outside answer is still an outside answer. If you move to another surface or enable a new capability, repeat the source and permission review rather than assuming the same grounding boundary follows the notebook everywhere.
Start with available access before buying more
The current consumer plan table lists Standard access at 100 notebooks and 50 sources per notebook, and Pro at 500 and 300. These caps are subject to change. Higher limits do not fix a poor source set, and sharing a paid notebook does not increase another collaborator’s allowance.
Current usage guidance also describes compute-based limits influenced by request complexity, models, features and chat length, with five-hour refreshes and a weekly cap. Check Settings > Usage for your actual account. Some managed editions still document daily quotas. Do not promise a universal number of study questions per day or convert a plan multiplier into a fixed number of successful generations.
Google AI plans bundle Notebook access with other services; school or work upgrades follow eligible organization licensing. Check the price and terms displayed for your country and account before buying. We did not inspect a personal checkout or measure cost savings, and a short source-check exercise does not require choosing a subscription in advance.
On mobile, source questions, study aids and offline Audio Overviews can be useful, but the current app has platform and feature restrictions. Check the specific control you need; for example, note editing and Mind Maps are currently limited compared with the web. Reading this article on a phone does not mean all product steps should be assumed available there.
When an answer is missing or wrong, repair the evidence first
A failure is useful when it points to a specific next check. Keep the original source available and inspect the smallest part of the workflow that could explain the problem. Repeating the same broad prompt with stronger wording rarely establishes whether the right material imported or whether the concept is present.

A refusal can reflect a missing answer, unclear question or safety restriction; it is not proof that the original document lacks relevant information. Check the source yourself before changing your study conclusion. If a scanned formula or diagram remains unclear, use the original material or ask for qualified course help rather than trusting a guess.
Keep any support report small and sanitized: describe the source type and symptom, and use a harmless sample if needed. Do not include classmate records, credentials, private source contents or a complete notebook simply to demonstrate that an import failed.
Leave the session with something you can explain
For a first session, choose one topic, one authoritative reading set and one question. Check the imported material, trace the important claim to its passage, then explain the concept without looking at the generated answer. Keep the qualification you initially missed and the question that still needs an instructor’s answer. That is a useful outcome to aim for, not a result observed for this article.

Editors can create source-based flashcards/quizzes, customize difficulty and focus, request explanations and review missed cards. Flashcards can be downloaded as CSV subject to source restrictions. These controls do not establish exam validity.
Editors can generate and customize AI Audio Overviews; formats, languages and supported English length settings vary. Audio can contain inaccuracies and glitches. Interactive mode is currently English-only; downloads and sharing depend on access and source restrictions.
Mind Maps visualize uploaded-source topics; nodes can initiate follow-up questions. Outputs may be inaccurate. The current mobile app does not support Mind Maps.
